# Correct, cancel or refund an invoice

> Fix an issued invoice with a credit note or cancellation invoice, and refund an online invoice payment separately.

An issued invoice cannot be edited. To change it, you issue a separate correction document: a credit note for some items or amounts, or a cancellation invoice for the whole invoice. Returning money is a separate step.

## Who can do this?

**Owners and Managers** can create credit notes and cancellations and request refunds for their shop's invoices. Staff cannot use invoicing.

## Where to do it

In the web app, select a shop in Germany, open **Invoices** and select the issued invoice. **Create credit note** and **Cancel invoice** appear below an issued invoice until it is cancelled or settled by a final invoice. **Request refund** appears in **Payment history** once a payment is confirmed.

## Credit part of an invoice

1. Select **Create credit note**.
2. Enter a **Reason** and check the **Invoice date** of the credit note.
3. Enter the items you are crediting, with the same VAT rates as on the original invoice.
4. Select **Create credit note**. It is saved as a draft for review.
5. Check the draft, then select **Issue invoice** and confirm.

The issued credit note gets its own number and links back with **View original invoice**. On the PDF, the document is titled Gutschrift.

Issuing a credit note ends the original invoice's payment link. If an amount is still open, select **Create payment link** and share the new link, or send the invoice again. The email then includes the current link. Together, all credits cannot exceed the original amounts excluding VAT or the VAT. You cannot edit a credit note draft. If it is wrong, leave it unissued and create a new one.

## Cancel an entire invoice

1. Select **Cancel invoice**.
2. Enter a **Reason** and check the **Invoice date**.
3. Select **Create cancellation**.

The cancellation invoice copies all items of the original and is issued automatically. The original invoice then no longer accepts payments. An invoice that already has an issued credit note cannot be cancelled completely; credit the remaining amount instead.

The correction date cannot be before the original invoice date.

## Refund a payment

A credit note or cancellation does not return money. If your customer has already paid online:

1. In **Payment history**, select **Request refund**.
2. Choose the **Confirmed payment** and enter the **Refund amount**.
3. Select **Request refund**.

The amount cannot exceed what remains of that payment after other refunds. The history shows **Refund requested**, **Refund submitted to Adyen**, then **Refund confirmed** or **Refund failed**. If a credit note leaves more paid than is due, the invoice shows **Refund due**.

## Invoices created from a paid order

These invoices have no credit note, cancellation or refund actions. Select **Open POS order to manage corrections or refunds** and refund the order in History. After a full refund of the order is confirmed, a cancellation invoice is created and issued for it automatically. If that is not possible, the invoice shows **Action required** with the reason.

## Platform and market notes

These steps describe the web app. Invoices, credit notes and cancellation invoices are available for shops in Germany and are always in euros.

## Troubleshooting

* If **Create credit note** or **Cancel invoice** is missing, check that the invoice is issued and has not already been cancelled or settled by a final invoice.
* If a credit is rejected, check its VAT rates and amounts against the original invoice and any earlier credits.
* If a refund fails, review the payment history before you request another one.
* Cancelling a final invoice reopens its billing case. Refund any payment on the cancelled final invoice before you issue a new one.
