# Print, email or text a receipt

> Send a receipt by email or SMS, or print it using your shop's receipt printer.

Check the order number and recipient before sending or printing, including any prefilled contact details.

## Who can do this?

**Owners, Managers and Staff** can send and print receipts for orders in their shop. Printing needs a working receipt printer and print station configured for that shop.

## Where to do it

In the web app, open **History** and select the order. **Send receipt** appears once the order is completed.

**Print receipt** works for submitted, paid, completed and refunded orders, and while a refund is processing or has failed. It also appears on cancelled orders, but printing those orders from History currently fails. Contact Tapp support if you need that copy. The button does not prove that an unpaid order has been paid.

## Send by email or SMS

1. Select **Send receipt**.
2. Choose **Email** or **SMS**. The form starts with email if the guest has an address, otherwise SMS. Switching restores saved contact details and discards your typing: recheck the recipient.
3. Check the recipient or enter a new address or number. For SMS, use the complete international number beginning with **+** and the country code. Do not rely on a local number being interpreted for the correct country.
4. Send the receipt and wait for the confirmation. If the app reports an error, check the details before trying again.

Entering a different recipient here does not update the guest’s saved contact details.

Email includes a PDF receipt. SMS contains a link to download the receipt. The send confirmation means the send request succeeded; it does not confirm that the customer has opened the message.

## Print a copy

Select **Print receipt** and wait for the result. History uses the shop’s configured printer without asking you to choose one. If the preferred printer is no longer active, another active shop printer may be used. Check which printer produced the copy before handing it to the customer.

If printing fails, check the printer's connection, paper and the shop's print station. Keep the print station running. A timeout does not prove that nothing printed, so check the printer before requesting another copy.

Email and SMS do not need a receipt printer. They can be useful when the printer is unavailable and the order offers Send receipt.

## Read tips and refunds on a receipt

A receipt can show the order total, a collected **Tip** and **Total paid** separately. Do not add the tip to Total paid again. A selected but uncollected tip is not proof of payment. A tip added later can be labelled **Tip (added after payment)**.

After refunds, check the confirmed money breakdown when shown: **Originally collected**, **Tip returned**, **Total returned** and **Remaining paid**. Other refund receipts can show **Tip refunded** or **Tip (not refunded)**. These labels distinguish returning the tip from keeping it after an order refund.

**Amount unknown** or **Tip refund status unknown** means the refund amount or tip result is not confirmed. Do not replace that uncertainty with a calculation from the original total. Refresh the order and contact Tapp support if needed. Printing again does not complete a pending refund.

## Platform and market notes

These steps cover web History in Great Britain and Germany. Changing app language does not change recorded amounts or prove receipt language changed.

In the mobile app, choose **Send receipt** where offered. For SMS, select the country code and enter the remaining number; check the code especially after cash payment. Sending clears the typed recipient, so re-enter it after failure. The cash receipt form closes immediately, which does not confirm sending. The payment-result screen shows success or error. If uncertain, check with the customer before resending.

## Troubleshooting

If Send receipt is missing, check whether the order is completed. Do not collect payment again merely to obtain a receipt.

For a missing email, ask the customer to check spam and confirm the address. For SMS, verify the international number. If the download link no longer opens, send the receipt again from the same order. Contact Tapp support if sending continues to fail.
