# Invite a team member

> Add someone to your shop using their email address or phone number.

Invite a team member when they need access to the selected shop. Check the contact details and intended role first: a person who already has a Tapp account can be added immediately, without a separate acceptance step.

## Who can do this?

Owners and Managers can invite team members. Staff cannot send invitations. Agree the intended role with the person responsible for the shop before sending, especially when ownership is involved.

## Where

In the web app, select the correct shop and open **Staff**, then **Add staff**.

## Send an invitation

1. Choose email or phone and enter the person’s contact details. Use the contact associated with their existing Tapp account when they already have one.
2. For a phone invitation, check the country calling code as well as the number. The initial country selection follows the shop, so change it when the person’s number belongs to another country.
3. Select the intended role. The form needs both a valid contact and a role before you can continue.
4. Review the shop, recipient, and role, then choose **Add team member** once.
5. Read the result. After success, close the dialog and check the team list and any pending invitation entry. Repeat the process separately for another person.

## What the recipient needs to do

A new user receives an invitation and follows the joining process to finish their account. An existing account is linked to the shop directly; the person should sign in normally and check their available shops.

Inviting someone who is already a member does not change their role. For a pending invitation, a repeat invitation can send a replacement code. If signup is already in progress, ask the person to continue it instead of repeatedly inviting them. Use the role-change guide for an existing member’s permissions.

## Platform and market notes

If you manage several shops, use the web app to select the intended shop and send invitations. Changing the shop displayed on the mobile **Team** page does not change the shop used for invitations; those still use the app’s active shop.

On the mobile **Invite team members** screen, choose **Email** or **Phone number**, enter the contact and select the role. Check the phone country code. Choose **Add team member** to place the person in your review list; this does not send an invitation. Repeat for others and remove incorrect cards before choosing **Send invites**.

This team-management form starts with **Staff** and resets to Staff after adding a person or switching contact type. The phone country code also resets after adding a person. Check each entry. Setup invitations use a different initial role.

Email and phone invitations apply in Great Britain and Germany. Check the recipient’s actual contact details independently of the shop’s market.

## Troubleshooting

If sending is unavailable, check the role selection and contact format. If delivery fails, inspect the team list before retrying: a membership may already have been created even though the message was not delivered. Ask the recipient to use the newest invitation after a resend. Contact Tapp support if the person cannot continue joining or an existing account cannot find the shop.

An existing account can appear in the team list while a temporary pending entry is still shown. Reload the page before sending another invitation. Confirm whether the person can select the shop; the pending label alone does not mean that they still need to accept an invitation. If their account setup is unfinished, they still need to complete it.

In the mobile app, returning to the team list after sending does not by itself confirm a successful invitation. Check for the member or pending invitation, and confirm receipt with the person. If neither appears, use the web app to check the result or contact Tapp support before sending repeatedly.
