# Manage Tapp POS terminal access and PINs

> Allow a person to sign in to Tapp POS for your shop, and set or clear their six-digit PIN.

The **Terminal access** card controls who can sign in to Tapp POS for the selected shop. A person needs two things before they can sign in: enabled access and a six-digit PIN. Access and PINs apply to one shop at a time, so check the selected shop first.

## Who can do this?

Owners can enable or disable access and set or clear the PIN for anyone in the shop, including themselves.

Managers can do the same for themselves and for Staff. They can see, but not change, the access of other Managers and Owners.

Staff can set or clear their own PIN only after an Owner or Manager has enabled their access. Staff cannot enable or disable access, and cannot open anyone else’s card.

A PIN never changes a person’s role. On the terminal, each person keeps the role they have in the shop.

## Where to do it

* **Your own access:** in the web app, open your account menu and choose **Profile**. The **Terminal access** card is below your name and email.
* **A team member’s access:** the card also appears on that person’s **Staff Details** page. You reach it only through an order they served: in shops in Germany, go to **Invoices**, open an invoice created from a paid POS order, and select **Open POS order to manage corrections or refunds**. On the order page, select the name next to **Served by**. This opens only the card of the person who served that order.

The **Staff** page side panel does not show the card. So in shops in Great Britain, Owners and Managers can manage only their own access, and in Germany the web app offers no way to open the card of someone who has not yet served an invoiced POS order, such as a new team member.

## Steps

1. Read the status at the top of the card: **Access disabled**, **Access enabled · PIN needed**, or **PIN configured**.
2. To allow sign-in, select **Enable access**. If you are an Owner or Manager, saving a PIN also enables access.
3. Enter six digits in **New PIN** and the same digits in **Confirm PIN**. **Save PIN** stays unavailable until both fields match.
4. Select **Save PIN**. The card shows **Terminal access updated.** and the status changes to **PIN configured**. Existing PINs are never displayed, so share a new PIN with the person directly.
5. To make someone choose a new PIN, select **Clear PIN**, then **Confirm**. A new PIN must be set before their next sign-in.
6. To stop someone signing in, select **Disable access**, then **Confirm**. This also clears their PIN.

## Platform and market notes

Changes reach a terminal the next time it connects. While a terminal is offline, a person’s existing sign-in can remain valid for up to 24 hours. Payments already saved on the terminal are kept, and sales already recorded keep the person who made them.

After any change on the card, even saving the same PIN again, the person’s earlier sign-in can no longer start new sales once the terminal is online. They sign in again with their current PIN.

## Troubleshooting

* **Ask a manager to enable terminal access before setting your PIN.** Your access is disabled. Ask an Owner or Manager to enable it, then set your PIN. If you see this on another person’s card, that person’s access is disabled and only an Owner can change it.
* **Terminal access settings are unavailable.** Check the selected shop and your permission to view this card, then reload.
* **Could not update terminal access. Please try again.** Check your connection, reopen the card to confirm the status, then try again.
* **No buttons on another person’s card.** Managers cannot change the access of Owners or other Managers. Ask an Owner.
* **Five wrong PIN entries.** Tapp POS blocks sign-in for that person for 15 minutes. Saving a new PIN ends the wait.
