Create planned visits in the correct shop’s booking schedule.

Who can do this?

Owners, Managers, and Staff can create bookings. These roles can also search for and create guests from the booking form. Changing the shop’s booking settings requires an Owner or Manager.

Where

In the web app, open Bookings and select New booking.

Enter the visit

  1. Select Choose or create guest to find an existing guest or add one. Search by name and narrow the search if the list does not show the person you need. Selecting a guest fills their details into the form; check them before continuing.
  2. Enter or confirm Full name and at least one contact method: email or phone. Names must contain between 2 and 100 characters; use letters, numbers, spaces, apostrophes or hyphens. Check the country code when entering a phone number.
  3. Choose the party size, date, and offered start time. Use a date from today onward and a party size within the shop’s limits.
  4. Select the visit duration when that choice is shown. When duration choice is disabled in booking settings, the web form uses the shop’s standard duration for a new booking.
  5. Add any useful notes, up to 64 characters. Keep them relevant to this visit.
  6. If tables are configured, review the optional table selection. Choose the intended table or combination and check its room and capacity. Lock assignments protects selected table assignments from automatic redistribution; it does not remove scheduling conflicts or increase capacity.
  7. Select Create booking and wait for the success message. Open the booking to check its date, start time, duration, guest, status, and tables.
Bookings created by staff are confirmed when created. If you leave the table selection empty, the booking is confirmed without a table; a table is not automatically chosen for a staff-created booking. Check the assignment before seating the party. For guests already at the venue, use the walk-in flow instead of creating a future reservation. To add a guest in the picker, select Add new guest, enter their name and at least one contact method, then select Create guest. This saves the guest before you create the booking. Closing the booking form does not undo that save. If the contact details match an existing guest, the supplied details can update that guest instead. Check the selected person and contact details before continuing.

Platform and market notes

In the mobile app, let the party-size selector stop scrolling before continuing, then check the chosen number on the next screen. After confirmation, reopen the booking to check its saved duration and tables; the confirmation does not show table assignments. Order ahead of time clears the current order selection and starts a fresh order, so finish other order work first. It does not seat the party. In the mobile app, use the flag beside the phone field to select the country code, then enter the number without repeating that code. Check both parts before saving, especially after choosing an existing guest or pasting a number. Selecting a guest fills their contact details; check that they belong to the person making this visit. Mobile guest names need 2–100 characters using letters, spaces, apostrophes or hyphens; numbers are not accepted. Enter at least one contact method. If you fill both email and phone, correct errors in both fields before saving.

Troubleshooting

If creation is unavailable, wait for booking settings to load and check the name, contact details, date, time, and duration. If no start times appear, review the date and opening hours. If saving reports a table conflict, review the overlapping booking or choose a suitable alternative. If creation reports an error or the result is unclear, search the booking list before trying again. The booking can already be saved even if sending a confirmation fails. Open any matching booking and check the visit details to avoid creating a duplicate. A confirmed status does not prove that the guest received a message.
