With cash tracking on, cash payments and refunds go through a drawer. The app suggests change from the drawer’s recorded notes and coins and saves exactly what was exchanged.

Who can do this?

Owners, Managers and Staff can take cash payments and give cash refunds through an open drawer. Only an Owner or Manager can open a closed drawer.

Where to do it

In the web app, choose Cash in Point of sale to open Cash payment. To refund an order paid in cash, open it in History and select Refund; Cash refund opens. In the mobile app, choose Cash when taking payment, or refund an order paid in cash. Cash payment or Cash refund opens. To check a drawer, open Sell → Cash drawers.

Take a cash payment

  1. Choose Cash. Check the drawer under Cash drawer (mobile: Choose the drawer you are using). It must show Open.
  2. Check Amount due. Under Cash received, tap each note and coin the customer hands you, or type the quantities.
  3. Check Change to give (mobile: Change due). The suggested pieces come from the drawer. Select Edit pieces (mobile: Adjust change) to give other pieces.
  4. Select Continue to cash exchange (mobile: Review cash exchange). The exchange is saved and the drawer is reserved for this order.
  5. Under Exchange cash, take the listed cash, give the listed change, then select Cash exchanged — finish.
The order is marked paid and the drawer balance updates. In the mobile app, a confirmation appears and you return to the Sell tab.

Give a cash refund

A cash refund returns the full amount of an order that was paid in cash.
  1. In Cash refund, check the drawer and the amount under Refund to give (mobile: Amount to refund).
  2. Check the suggested notes and coins, and change them if needed.
  3. Select Continue to cash exchange (mobile: Review cash exchange), hand over the listed cash and select Cash exchanged — finish.
The order is marked refunded and the cash leaves the drawer record.

Cancel a saved exchange

If no cash changed hands, or the customer returned the identical notes and coins, you can cancel. In the web app, open Cancel or recover this operation, tick No exchange, or identical denominations returned, enter a reason and select Cancel saved operation. In the mobile app, choose Cancel cash exchange, confirm and enter a reason. After Cash exchanged — finish, the exchange can no longer be cancelled.

Platform and market notes

A drawer handles one cash exchange at a time. Card and other payment methods still work when no drawer is open. In Germany, each cash payment and refund is also fiscally recorded. A message such as Payment received. Fiscal confirmation is pending. means the cash is saved; do not collect it again. Owners and Managers can follow open items under Cash reconciliation on the Cash drawers page.

Troubleshooting

If the drawer is closed or being counted, choose another open drawer or ask an Owner or Manager to open it. If the drawer is reserved for another order, finish or cancel that exchange first, or choose another drawer. If no exact change is available, ask for different cash or record a denomination exchange first. Change above £1,000 or €1,000 must be entered manually. While cash tracking is on, an order with a tip cannot be paid in cash, and a cash-paid order with a tip cannot be refunded: the dialog shows a message instead of the cash form. Take a card payment instead, or contact Tapp support for the refund. Cancel an active payment link before you collect cash. After a lost connection or reload, use Retry saved request (mobile: Recover saved request). It continues the same exchange; check whether cash already changed hands. If Cash recorded; processing pending (mobile: Cash recorded) appears, select Resume processing / check status (mobile: Check / resume processing) and do not collect cash again.
