Who can do this?
Owners and Managers can create credit notes and cancellations and request refunds for their shop’s invoices. Staff cannot use invoicing.Where to do it
In the web app, select a shop in Germany, open Invoices and select the issued invoice. Create credit note and Cancel invoice appear below an issued invoice until it is cancelled or settled by a final invoice. Request refund appears in Payment history once a payment is confirmed.Credit part of an invoice
- Select Create credit note.
- Enter a Reason and check the Invoice date of the credit note.
- Enter the items you are crediting, with the same VAT rates as on the original invoice.
- Select Create credit note. It is saved as a draft for review.
- Check the draft, then select Issue invoice and confirm.
Cancel an entire invoice
- Select Cancel invoice.
- Enter a Reason and check the Invoice date.
- Select Create cancellation.
Refund a payment
A credit note or cancellation does not return money. If your customer has already paid online:- In Payment history, select Request refund.
- Choose the Confirmed payment and enter the Refund amount.
- Select Request refund.
Invoices created from a paid order
These invoices have no credit note, cancellation or refund actions. Select Open POS order to manage corrections or refunds and refund the order in History. After a full refund of the order is confirmed, a cancellation invoice is created and issued for it automatically. If that is not possible, the invoice shows Action required with the reason.Platform and market notes
These steps describe the web app. Invoices, credit notes and cancellation invoices are available for shops in Germany and are always in euros.Troubleshooting
- If Create credit note or Cancel invoice is missing, check that the invoice is issued and has not already been cancelled or settled by a final invoice.
- If a credit is rejected, check its VAT rates and amounts against the original invoice and any earlier credits.
- If a refund fails, review the payment history before you request another one.
- Cancelling a final invoice reopens its billing case. Refund any payment on the cancelled final invoice before you issue a new one.
